Look, we get it

Nobody actually wants to read these things, but honestly? We're pretty straightforward about how we handle your info. We're architects, not data miners. Your information stays with us and helps us do our job better - that's it.

What we collect (and why)

When you reach out or work with us, we'll need some basic stuff:

  • Your name and contact details - pretty obvious, we can't call you back otherwise
  • Project details you share - drawings, site photos, that napkin sketch you did at breakfast
  • Communication history - emails, meeting notes, those late-night "what if we just..." texts
  • Site visit information - addresses, access codes, where you hide the key
  • Payment info for billing - though our accounting software handles the sensitive bits

We're not tracking your browsing habits or selling your data to advertisers. That's just not our scene.

How we actually use your information

Everything we collect has a purpose:

  • Designing your project (kind of the whole point)
  • Keeping you updated on progress and timelines
  • Meeting regulatory requirements - permits aren't gonna file themselves
  • Coordinating with contractors, engineers, and other consultants
  • Handling invoices and project documentation
  • Occasionally sending project updates or studio news if you've said that's cool

Who else sees your stuff

We don't just hand out your info, but sometimes we gotta share it with:

  • Project collaborators - structural engineers, landscape architects, contractors who need the info to do their part
  • Municipal authorities - building departments, planning offices (they require a ton of documentation)
  • Service providers - our cloud storage, email platform, project management tools
  • Legal/financial advisors - only if necessary and always confidentially

Everyone we work with signs confidentiality agreements. We're pretty serious about keeping client projects under wraps until you're ready to show them off.

Cookies and website stuff

Our website uses some basic cookies to remember your preferences and make sure everything works smoothly. We're not doing anything fancy - just keeping the lights on and making sure contact forms actually send. You can disable cookies in your browser if that's your thing, though some features might get wonky.

Your rights (yeah, you've got 'em)

Under Canadian privacy laws, you can:

  • Ask what info we have on you
  • Request corrections if something's wrong
  • Ask us to delete your data (after project completion and legal retention periods)
  • Opt out of marketing communications anytime
  • Get a copy of your data in a readable format
  • File a complaint with the Privacy Commissioner if you think we've messed up

How we keep things secure

We take security seriously - encrypted communications, secure cloud storage, locked file cabinets for physical documents, the works. Our team's trained on privacy practices, and we limit access to only folks who actually need it for your project. That said, nothing's 100% foolproof online, but we're doing everything industry-standard and then some.

How long we keep your stuff

Architecture projects have long tails. We're legally required to keep project documentation for at least 10 years after completion (sometimes longer depending on the building type). After that, we review and securely dispose of what we don't need. Some stuff we might keep longer with your permission - like project photos for our portfolio or case studies.

Portfolio and marketing

We love showing off our work, but we'll always ask permission before featuring your project in our portfolio, on social media, or in publications. You can say no, or request specific photos/details be kept private. Some clients want maximum exposure, others prefer to stay completely anonymous - we respect both.

Third-party links

Sometimes we link to other sites - manufacturer specs, sustainability resources, that kind of thing. Once you leave our site, their privacy policies apply. We can't control what they do, so check their policies if you're concerned.

Changes to this policy

We might update this occasionally as laws change or we adopt new tools. We'll post the updated version here with a new date at the top. For major changes affecting active projects, we'll reach out directly.

Questions? Just ask

Seriously, if anything here doesn't make sense or you wanna know more about how we handle your specific situation, just give us a shout. We'd rather have a quick conversation than have you worrying about this stuff.
